Elite OS is a trading journal and lifestyle tracker operated from South Africa. We are the “responsible party” (POPIA) and “controller” (GDPR) for the personal information described in this policy. You can reach us at eliteos.supportteam@gmail.com.
| Category | What we collect | Why |
|---|---|---|
| Account | Email address, display name, and a password (stored only as a one-way hash by our authentication provider). If you sign in with Google: the name and email Google shares with us. | Sign-in and account management |
| Consent record | The version of these Terms and this Privacy Policy that you accepted, the date and time, how you accepted (sign-up, sign-in, Google, or the in-app prompt), and your confirmation that you are 18 or older. | To keep proof that you agreed, as the law expects |
| Trading data | Trades and notes you log (symbol, direction, entry/exit, P&L, session, tags, grades, emotions, screenshots), playbook rules, prop-firm and account-balance tracking, risk settings, files you import (CSV), and trades synced from MetaTrader through your personal sync token. | Core journal and analytics features |
| Wellness & lifestyle data | Habits, goals, journal entries, check-ins, sleep, mood, gym logs, meals and nutrition (including food photos if you use the AI food scanner), water, optional body weight and resting heart rate, budget entries, tasks and reminders. Some of this may count as health-related or “special” personal information; we process it only because you choose to enter it, and only to provide the features you use. | Wellness tracking features |
| Community content (optional) | Profile photo, username, bio, posts (text, photos, video), comments, likes, follows, dares, polls, groups, group chats, direct messages (text, photos, videos, documents, voice notes), reactions, accountability-partner pairing, blocked users, reports you file, and leaderboard statistics (for example win rate, trade count, discipline score). | Community features you choose to use |
| Subscription | Plan status, trial start date, and the customer, subscription and licence identifiers our payment provider gives us. We never see or store your card details. | Billing and access to paid features |
| Notifications | Your notification preferences and, if you turn notifications on, your browser’s push subscription (an address and keys issued by your browser). | Delivering reminders and message alerts |
| Usage & technical | Daily AI-usage counters, error reports (the page, the error message, your browser type and your account ID), and your IP address, which our hosting and backend providers process to deliver the service and block abuse. | Fair-use limits, fixing bugs, security |
| Support & feedback | Anything you send through feedback, feature-request or support forms, together with your email. | Responding to you |
We only ask for what the features need. You can use Elite OS without the community features, without the AI features, and without entering any wellness data.
We do not sell your personal information, we do not use it for advertising, and we do not make automated decisions about you that have legal or similarly significant effects.
AI features (such as trade analysis, trade critiques, pattern and leak explanations, the daily brief, journal and goal coaching, and the food scanner) are powered by Anthropic PBC. Content is sent only when you use an AI feature: for example the trades or notes you select for analysis, text you ask the AI to review, or a food photo you scan. Requests go through our server, so your device never holds the AI provider’s access key. We do not send your password. The content you choose to analyse may itself contain personal information, so please leave out anything you do not want processed.
Under Anthropic’s commercial terms, content sent through its API is not used to train its models. Anthropic may keep API content for a limited period under its own policies. AI output can be wrong and is not financial, investment, legal or medical advice. We apply daily usage limits to AI features.
Your account, database records and files are stored with Supabase in the EU (Ireland) region. The web app itself is delivered through Cloudflare’s global network. Some of our providers, such as Anthropic and our payment provider, operate in the United States, so your information may be processed outside South Africa and the EU/UK. We rely on the contractual and legal safeguards these providers offer, such as standard contractual clauses, to protect it.
We share personal information only with the service providers we need to run Elite OS, under agreements that limit how they may use it:
| Provider | What it does | Data involved |
|---|---|---|
| Supabase | Database, sign-in, file storage and server functions (EU, Ireland) | Everything you store in Elite OS |
| Cloudflare | Hosting, delivery and DDoS protection | IP address and request data |
| Anthropic | AI features | Only the content you send to an AI feature |
| LemonSqueezy | Payments. It is the merchant of record and also handles tax, invoices and receipts | Your email, billing details and purchase information |
| “Sign in with Google”, Google Fonts on our sign-in and information pages, and Google Meet if you start or join a call link | Your IP address; the name and email Google shares when you choose Google sign-in | |
| Browser push services | Delivering notifications you have turned on (run by your browser’s vendor) | Your push subscription address and the encrypted notification |
| Open-source CDNs (jsDelivr, cdnjs) | Deliver code libraries the app needs | Your IP address |
| Spotify, YouTube (optional) | Embedded players, loaded only if you open them in the app | Your IP address; they may set their own cookies |
| NewsAPI (optional) | Market-news headlines, if you use that feature | The search request, sent through our server |
We may also disclose information if the law requires it, to enforce our Terms, or to protect the safety of our users. We do not sell or rent your information.
Elite OS does not set tracking or advertising cookies. It stores your sign-in session and app data in your browser’s local storage so the app works and works offline. See our Cookie Policy for the full list.
To use any of these, use the in-app tools above or email eliteos.supportteam@gmail.com. We will reply within 30 days. We may need to confirm it is really you before we act on a request.
Elite OS is for people aged 18 and over. We ask you to confirm you are 18 or older when you create an account, and we do not knowingly collect personal information from anyone under 18. If we learn that a minor has created an account, we will delete it promptly. If you believe a child is using Elite OS, please contact us.
We protect your information with encryption in transit (TLS) and at rest, database access rules that stop one user reading another user’s private data, server-side checks for paid features and AI limits, restricted access to backups, and rate limiting. No system is perfectly secure, so please use a strong, unique password. If a breach is likely to affect your rights, we will notify you and, where required, the Information Regulator. To report a security problem, email eliteos.supportteam@gmail.com.
We may update this policy as Elite OS changes. We will update the date above and, for material changes, tell you in the app or by email before they take effect. If you keep using the Service after a change, the updated policy applies.
For privacy questions or to exercise your rights, contact us at eliteos.supportteam@gmail.com. If you are not satisfied with our response, you may complain to the Information Regulator of South Africa (inforegulator.org.za) or to your local data protection authority.
